Job Summary
We are seeking a detail-oriented and organized Accounts Payable / Accounts Receivable Administrative Assistant to join our team. The ideal candidate will be responsible for managing financial transactions, ensuring accuracy in billing and payments, and maintaining comprehensive financial records. This role requires strong clerical skills, proficiency in accounting software, and the ability to communicate effectively with both internal and external stakeholders.
Responsibilities
Process accounts payable and accounts receivable transactions accurately and timely.
Maintain organized financial records and documentation for all transactions.
Prepare invoices and ensure timely billing to clients.
Monitor outstanding invoices and follow up on overdue payments.
Reconcile accounts payable and receivable ledgers to ensure accuracy.
Assist with data entry tasks related to financial transactions.
Handle phone inquiries related to billing, payments, and account statuses.
Collaborate with other departments to resolve discrepancies or issues related to accounts.
Utilize QuickBooks for managing financial records and reporting.
Provide support in administrative tasks as needed, including clerical duties.
Ad-hoc projects, reporting and account reconciliation and other assignments as needed to support the team.
Excellent communication skills, both written and verbal.
Familiarity with Real Estate Development and Public Works Construction are a plus.
Requirements
Proven experience as an Accounts Payable/Receivable Clerk or similar role is preferred.
Strong data entry skills with a high level of accuracy.
Proficiency in QuickBooks or similar accounting software is a plus.
Bilingual candidates are encouraged to apply, as communication with diverse clients may be required.
Excellent computer literacy, including proficiency in Microsoft Office Suite (Excel, Word).
Familiarity with office phone systems and clerical procedures is beneficial.
Strong organizational skills with the ability to manage multiple tasks effectively.
Attention to detail and a commitment to maintaining accurate financial records.
Experience
3+ years of hands on accounting experience.
Advanced Excel Skills.
High school diploma or equivalent.
Associates degree in Accounting or related field (Preferred).

Has the ability to work independently, create problem solve and work through ambiguity.
Must have the ability to multi-task in a fast paced and deadline driven environment.

Pay: $28.00 – $35.00 per hour
