JOB DESCRIPTION:
Responsible for welcoming visitors into the building with a warm welcome to the agency, directing and announcing them appropriately. Answering incoming calls with a warm customer service attitude and forwarding incoming phone calls to the appropriate department/individual. The Receptionist will receive, sort, and distribute daily mail/deliveries. They will be responsible for supply inventory/ordering of clinical and office supplies. They are the Chair of the Social Committee and will plan meetings, take meeting minutes, organize events, and keep the committee engaged. Additional administrative responsibilities include correspondence, preparing forms and documents as need by The Agency, and any other office duties as assigned.
DUTIES AND RESPONSIBILITIES:
Front Office Receptionist tasks:
Receives, coordinates, and directs all incoming phone calls. Maintains a pleasant and cooperative attitude and phone voice.
Assists clients and visitors into the facility by directing and announcing them appropriately.
Opening and Closing of office:
Locking doors, checking windows to be closed.
Turning off office equipment
Turn off lights within conference rooms, kitchen, reception area, and lobby.
Sends daily morning reports to Hospice, Home Care and Life Care for the previous evenings On Call log.
Requests lab pickup daily by LabCorp, when necessary.
Processes incoming mail by receiving, sorting, and distributing daily mail/deliveries.
Enter daily monies into cash log within shared drive that is received within the mail and by staff.
Scans patient paperwork that is received within the mail weekly into HCHB
Manages postage meter by applying postage, filling funds, ordering supplies, and maintenance.
Process all donated items into the building and distribute appropriately in the building.
Fulfils additional duties as assigned and as necessary.
Staff education administrative data entry tasks:
Manages monthly LNA Newsletters
Prints out Newsletter and tests, if requested
Scores tests when returned by staff.
Enters staff score within iSolved and education tracking spreadsheet monthly.
Creates certificates, if requested.
Data entry of CEU’s into iSolved from Relias report provided biweekly.
Scan CEU’s into staff iSolved if provided from outside education.
Creates education certificates, as needed/requested.
Office Administration tasks:
Processes OIG monthly report on all staff, Board of Directors, and volunteers. Provides reports to HR and manager once completed.
Manages Chronic Care/Disease Management booklet supplies for the agency. Prints and collates booklets for volunteers to process and place within display area.
HCHB Workflow – manages Episode Summary Reports multiple times throughout the day.
Manages On Call scheduling for Home Care and Hospice
Verifies calendars are fully completed monthly and communicates to manager if there are any discrepancies in the planned-on call calendar(s).
Data entry of on call schedule into Intelligent Series platform for answering service.
Prints monthly calendars for coverage reference.
Communicating with on call services when coverage changes occur within 24hrs of the planned coverage being on call.
Orders clinic medical supplies and laboratory supplies for the office.
Manages inventory within the clinical room and supply room to make sure supplies are being rotated, expiration dates are tracked, and inventory levels are met.
Order medical trunk kits for field staff and prepare nursing bags/trunks prior to orientation.
Lead on Medline supply reordering through Edgepark.
Assist field staff with patient order statuses when inquired.
Lead on processing “Do not mail” report through Foster’s Daily Democratic for Advancement department.
Schedules and accepts meetings within Outlook.
Processes We Honor Vet certificates by designing, printing, mailing when requested.
Chairs the Social Committee
Schedule, plan and lead social committee meeting bi-monthly.
Take meeting minutes and distribute to committee within a timely manner.
Send communication out to staff about planned events.
Encourage staff engagement and receive feedback to help build work/life balance for staff.
