Administrative Assistant III Jobs in Bothell, WA at Seattle Children’s Hospital
A Receptionist/Administrative Coordinator position is available in the newly funded HIV Cure and Viral Diseases Center (“the Center”) at The Wistar Institute. The Receptionist/Administrative Coordinator is a front-facing role in which they will be the primary point of contact at the front desk to welcome guests, visiting dignitaries, and monitor entry into the Center.
The successful candidate will provide comprehensive administrative support to Dr. Luis Montaner and the Center. Primary responsibilities will include front desk coordination such as greeting and checking in visitors, scheduling meetings and appointments, assisting with calendar management, and supporting the planning of on-site visits and Center events. Additional administrative duties may include assisting with manuscript preparation and content editing, maintaining the social media presence of Dr. Luis Montaner’s laboratory, coordinating travel, providing editorial support for grant preparation including related reporting documents, and the ordering of office equipment and/or other supplies. Occasional evening or weekend hours should be expected to support program objectives.
A high school diploma or the equivalent is required. A Bachelor’s degree is preferred. The candidate must have excellent typing and computer skills, including working knowledge of Mac/OS, Microsoft Office, Adobe Acrobat Pro, Adobe Photoshop, and Google Documents. Candidates with direct experience utilizing and managing social media are preferred.
Candidates with a minimum of 5 years of high-level secretarial/administrative experience and a proven level of responsibility are strongly preferred. The ideal candidate will have prior experience and demonstrated success working in a front office position in an academic environment. They will display an excellent attention to detail, good judgement, a customer service-oriented disposition, and the ability to work independently with limited direction. Strong candidates would be described as self-starters who demonstrate initiative, strong interpersonal skills, excellent written and verbal communication skills, and excellent organization. Familiarity with grant proposal preparation and HIV/AIDS issues/research are a plus.
