Job Summary:
The Front Desk Coordinator position for Pediatric Associates of Dayton is responsible for supervising front office personnel, receiving patients and visitors, determining their needs and directing them accordingly. The Front Desk Coordinator manages scheduling for the front office team, approves employee time off requests, ensures employee timecards are accurate and submitted in a timely fashion. Monitors front office activities for consistency in office policies and procedures.
Essential Duties and Responsibilities:
Promote Pediatric Associates of Dayton’s brand in a positive manner with clients and community
Ensure patient satisfaction of patients, families, and visitors by greeting them in a warm and welcoming way
Answer phones and schedule patient appointments
Document patient communication in the patient chart as directed
Fax, File, pull, and prep medical charts
Receive payment, issue receipts, and balance out at the end of the day
Perform the following functions on a rotational basis: check-in, check out, schedule and runner
Ensure registration form is complete and up to date, updating patient accounts when needed
Arrange front office equipment servicing
Arrange for the destruction of PHI
Distribution of mail and courier deliveries, incoming faxes, and pull charts to attach any reports, results, or correspondence
Foster a cooperative and collaborative work culture
Manage scheduling, timecard approvals, and PTO approvals for front office team
Support, coach and provide feedback to direct reports as needed
Participate in monthly Team Lead/Management and other staff meetings
Perform other clerical administrative tasks as assigned
Assist other personnel in times of high volume.
Other Requirements:
Maintain HIPAA compliance and patient privacy when verifying patient information
Promote adherence to company policies and procedures
Work well independently, and in a team environment
Maintain positive and professional working relationships with co-workers
Dependable and on-time
Must be able to travel to the other two (2) Pediatrics Associates of Dayton practice locations when needed (Englewood, OH and Kettering, OH locations)
Education, Experience and Abilities:
High School Diploma or GED required
2+ years of experience in a medical office or healthcare facility is preferred
1 + years of supervisory or Team-Lead experience
Must be customer-focused and possess strong oral communication and telephone skills
Ability to work well in a fast-paced, customer-facing environment while maintaining the quality of work
Proficient in computerized systems and Microsoft Suite
Supervisory Responsibilities:
Front desk staff: 3-5 employees
Hours and Work Schedule:
Monday – Friday 8:00am – 5:00pm
Saturday 8:00 a.m. – 12:00 p.m. at the Kettering, OH practice location(rotation of Saturday hours with other front office staff)
Home office is Beavercreek, OH – must be able to go to the Englewood or Kettering practices as needed
