Overview
The Associate Administrative Assistant will maintain Redding office functions including donations, mail/shipping, maintain facility and supplies, conference room and event management, reporting, security, manage day to day receipt of checks, prepare bank deposits, manage and update Settlement System and proof of delivery process, and other duties as they arise.
Responsibilities
Provide administrative support to leadership and Market coverage, front office and settlement management
Ensure invoices are paid timely, accurately and with the proper approvals utilizing SAP, P-Card and Amex
Create/Process Purchase Order Requisition with MCC team in SAP – MyBuy and Powerhouse App
Verify daily receipts of checks and money orders against daily route delivery documents
Enter all daily receipts into SAP Settlement system
Utilize Bank of America CashPro for check deposits and deposit reports
Validate use of Funds with MEM move team and Delivery Supervisor
Identify Bank Adjustments including NSF and Deposit Adjustments and providing timely communication with Functional Teams for further action
Verify and account for all expected documents including Proof of Delivery, etc.
Identify discrepancies and variances and Document all variances in SAP notes
Maintain Cashier Workbooks and Logs to support Sector Accounting. Work to resolve discrepancies and variances with Functional Teams
Maintain records management and Daily Route paperwork files
Run and distribute all required End of Day reports to Functional Teams
Ensure Free Goods process is executed according to policy and reconciled each period
Accounts Receivable Support – E-Check, Arc Tree Cases, research and resolve AR discrepancies
Frontline staffing functions: ADP Site Captain, I9 Verification, New Hire Orientation
Location Process Owner for Security
Location Process Owner for Telecom
Support Delivery team with Pepsi Direct CRS system to ensure all inquiries are resolved within 4 hours
Maintain coupon process according to control guidelines
Maintain calendars and schedules for S&D meetings/events
Maintain organization charts and contact lists
Maintain a high level of integrity and professionalism in handling confidential matters and materials.
ERG communication
Other duties and special projects as assigned
Compensation & Benefits:
The expected compensation range for this position is between $38,700 – $61,850.
Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary. Your recruiter can share more about the specific salary range during the hiring process.

Qualifications
1+ years providing administrative support or general business experience or an equivalent combination of education and relevant experience
Experience in Microsoft Word, Power Point, Excel, and Outlook including the ability to create and manipulate spreadsheets and presentations for high level review
Working knowledge of basic accounting principles
Ability to administer specific applications/time bound processes to meet all deadlines
Ability to learn quickly and become proficient in multiple proprietary IT applications
Critical thinking and problem resolution skills
Commitment to excellence in customer service; ability to work with minimal supervision and feel comfortable making decisions with little managerial input
Demonstrate tact, maturity, professionalism and respect for others, both internally and externally
Must be a strong team player and assist other staff when necessary
Must embrace change and welcome new ideas and projects
Ability to handle multiple changing priorities simultaneously in often challenging situations; ability to work proficiently and calmly under pressure
Outstanding organizational and follow-up skills including sensitivity with confidential information
Proficient written and oral communications skills and the demonstrated ability to clearly, concisely, and persuasively communicate oral and written messages consistent with company policy to both internal and external audiences, using appropriate tone, grammar, and word usage.
Excellent data entry and clerical skills, including 10-key and computer keyboard skills, proficiency in using financial information system applications, basic math skills (addition, subtraction, multiplication, division), and ability to operate common office equipment (e.g., fax machine, photocopier, telephone).
