ECHO is seeking an Administrative Assistant to join our growing Engineering team! The ideal candidate will have experience supporting large departments and be confident managing a wide range of responsibilities, including preparing and executing reports, coordinating travel arrangements, organizing trade shows, and scheduling both onsite and virtual meetings.
The hourly rate for this position is $20-$25 based on experience and qualifications.
This is an on-site position at our Lake Zurich facility.

Duties/Responsibilities:
Provides administrative support to the Product Engineering department, including, but not limited to, handling shipping and mail distribution, ordering office and engineering supplies, and drafting memos and reports.
Assists with regulatory compliance, certification processes, and record-keeping requirements related to EPA, CARB, European, Chinese, Canadian, UL, San Dimas, and other relevant standards. The workload for these tasks may fluctuate throughout the year and can comprise up to 75% of responsibilities during peak periods.
Prepares and submits monthly reports on department budget tracking, purchase order reconciliation, purchase card reconciliation, project labor hours, and staff attendance.
Provides support to project engineers in activities related to product development.
Manages the competitive product purchasing program, including processing requests from ECHO and Yamabiko staff, and overseeing receipt of parts and products.
Coordinates travel arrangements, trade show and seminar registrations, and assists with meeting planning for the Product Engineering department.
Handles department office needs such as organizing team lunches, maintaining the coffee machine, coordinating maintenance requests, and supporting other administrative assistants with their duties as needed.
Performs additional tasks and assignments as directed by management to support departmental operations.
Job Experience/Skills:
5+ years of experience working as an Administrative Assistant.
Proficient in Microsoft Word, Excel, and PowerPoint.
Demonstrates strong business email writing skills with attention to grammar and spelling.
Able to shift priorities and adapt swiftly when circumstances change.
Experience arranging travel, and with trade show preparation.
Education: High School diploma or equivalent
