Position Summary
Performs comprehensive and specialized administrative functions of a highly responsible and confidential nature for the Regional Dean, Chattanooga area. Maintains the regional office with considerable discretion and independence. Supports efforts across multiple institutional offices (MSM, MiCA, VMFH, CSH), high-performing teams at UGME and GME, research, health career training programs, and external partners including higher education, nonprofits, and corporations. Coordinates operational and planning activities to ensure timely information flow.
Provides accurate administrative support, communicates proactively, and follows decision-making protocols. Acts as a representative and ambassador for the Regional Dean, overseeing daily office activities and collaborating across campuses. Manages the system-wide calendar, reviews correspondence, and interfaces with various health and educational institutions to facilitate communication and meetings. Facilitates contract actions and ensures the Dean’s calendar is comprehensive, including presentations and forum activities.
Description of Job Duties
Administrative Support: Assist with scheduling, calendar management, travel arrangements, and expense submissions. Support special projects and departmental meetings. Maintain calendars for directors and managers. Develop departmental policies. Serve as liaison, respond to inquiries, and draft correspondence.
Event Coordination: Assist in planning and coordinating departmental events and initiatives.
Administrative Tasks: Perform word processing, data entry, and prepare financial documents ensuring accuracy and compliance.
Supply Management: Generate purchase lists, liaise with vendors, and procure office supplies and equipment.
Minimum Knowledge, Skills, Abilities, and Training
Exceptional interpersonal skills and managerial ability.
Ability to influence at senior levels and collaborate across functions.
Excellent organizational skills for managing fast-paced environments.
Proficient in Microsoft Office and Google Applications.
Minimum Qualifications
Associate’s Degree from a regionally accredited college or university.
At least three (3) years of related experience, or substitute experience on a year-for-year basis.
Proficiency in Microsoft Office Suite and Google Applications.
Effective oral and written communication skills.
Typing speed of 45 WPM (minimum); 50 WPM preferred.
Preferred Qualifications
Bachelor’s Degree from a regionally accredited institution.
Experience in academic and clinical settings with matrixed reporting relationships.
