The Administrative Assistant is responsible to provide office management, administrative and clerical support for Kids Central, Inc. (KCI) staff carrying out the goals of the organization. The Administrative Assistant ensures day-to-day administrative functions are completed in a timely manner.

ESSENTIAL FUNCTIONS:

· Coordinates meetings chaired by the Chief of Operations to include arranging meeting space, date/time, creating and distributing notices, tracking attendance responses and ordering refreshments, etc.

· Answers phone and email with timely and professional responses.

· Manages calendars to include creating Tasks. Schedules and reschedules appointments as necessary

· Develops and maintains various spreadsheets

· Makes travel arrangements and develops itineraries.

· Prepares travel reimbursement form on a monthly basis.

· Organizes electronic and paper files in complete order.

· Coordinates special projects and assignments.

· Completes conference registrations as needed.

· Prepares financial requisitions in accordance with policy.

· Prepares agenda’s and takes minutes for meetings.

· Prepares meeting files prior to meetings.

· Manages requests from staff and outside agencies.

QUALIFICATIONS:

Education & Experience:

Previous secretarial or administrative experience in a professional office setting or an Associates degree in office management.

Licenses & Certifications:

Ability to clear a Level II Background Screen required by Florida Statute and DCF. Possess a valid Florida driver’s license and be insurable by the agency’s current insurance carrier.

· Strong sense of urgency.

· Possess time management skills.

· Communicates effectively in speech and in writing.

· Uses correct grammar, spelling and punctuation in written correspondence.

· Types accurately.

· Excellent skills in Microsoft Office (MS Excel, MS Word, MS Outlook, PowerPoint).

· Can travel/drive when necessary.

Supervision is provided by Chief of Operations in the form of one-on-one supervision and regular team meetings. General guidelines, policies and procedures form the basis for performance monitoring.
