The South Carolina State Museum is a premier cultural institution dedicated to showcasing the rich history, natural history, art, and science of South Carolina. This is an exciting moment for the South Carolina State Museum as it embarks on its Reimagine the Experience campaign to revolutionize the museum experience for our visitors and expand our impact state-wide. This collaborative campaign will allow the museum to share more of its extensive collection of over 1.1 million objects and specimens and renew over 150,000 square feet with updated permanent exhibitions and immersive multimedia experiences which highlight the fascinating stories and people throughout South Carolina’s history. Through these revitalized spaces, the museum will offer our guests the opportunity to connect with each other and the many communities that call our state home.

The SC State Museum is seeking an Administrative Coordinator to coordinate and assist with human resources, finance, purchasing and general administrative functions for the agency’s Administrative Division. Position responsibilities include:

Human Resources Administrative Tasks
Coordinate Talent Management tasks to include maintaining NeoGov tasks, job site posting, interview scheduling, creating interview packets, background checks, part-time employee two-weeks break oversight, teamwear oversight, employee badge order/creation and new hire onboarding assistance.
Provide oversight of employee requisition, personnel action form, handbook, teleworking, performance management, and onboarding/separation checklists processes to ensure staff follow-though.
Assists with service award, staff appreciation, United Way, and other related events.
Daily HR Filing

Finance and Purchasing Administrative Tasks

Assists with finance, purchasing, and employee travel tasks, travel documentation and reimbursements.
Assists with cash control oversight, close-outs and deposits within the agency; assists with reconciling and monitoring cash flow in compliance with financial policies and procedures; reports variances to department managers and supervisors.
Develops and maintains records of each store’s deposits; reports any suspect trends to supervisor for further exploration.
Assists with processing accurate cash change orders from operational departments and maintains and balances main safe daily, performs monthly audits of departmental safes.

SCSM Administrative Responsibilities

Coordinate general SCSM office/mailroom supply/mailroom ordering; update SCSM staff directory update, all staff meeting refreshments maintenance/setup
Assistance with staff recognition events.
Assist with Executive Team and applicant travel management
Daily HR filing and online file coordination
Process travel and assist with processing department purchases.

Minimum and Additional Requirements

A bachelor’s degree in a business-related field and at least three years of experience in finance, accounting, business management, human resources, or administrative services
Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
Strong written and verbal communication skills.
Proficiency in MS Office to include Word, Excel, PowerPoint, Outlook.
Excellent organizational and multitasking abilities.
Must be available to work some nights and weekends.

Physical Requirements

Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Constantly positions self to maintain files in file cabinets.

Preferred Qualifications

Knowledge of human resources, finance, and purchasing regulations and compliance standards
Proficient in finance, accounting, and cash management software systems
Strong understanding of internal controls and risk management.
Strong analytical and mathematical skills, with excellent attention to detail.
Attention to detail and accuracy in Human Resources data analysis and reporting.
