Associate’s degree and two or more years of related work experience, or an equivalent combination of education and work experience. Grade 3 (Hourly)

Position Description:

The primary function of this position is to serve as a personal assistant to the Director of Envirome Institute/Chief of the Division of Environmental Health, and execute assigned tasks, projects, duties, and administrative procedures related to the Director’s/Chief’s responsibilities.

Essential Duties and Responsibilities

Serve as a principal aide to the Envirome Institute Director/Chief, Division of Environmental Health

Perform diversified administrative duties in support of the Director in matters involving the activities of the Envirome Institute. Proactively coordinate and manage Director’s calendar; evaluate requests for appointments. Apprise the Director on items requiring immediate attention. Maintain general office, project, and confidential files.

Manage logistics and prepare materials for the internal and external meetings with Deans, top level management, chiefs, donors, and customers. Rearrange meetings due to the hectic and demanding pace of schedule, staying on top of all the details necessary.

Arrange both national and international travel (flights, hotels, transportation) for Drs. Bhatnagar and Smith and complete the necessary paperwork and ensure that reimbursements are made upon return in a timely manner. Prepare related expense reports.

Stay on top of all expenditures related to mentioned activities by creating database accessible to UBMIs and other admin support staff. Complete meeting expense forms for all business charges. Upload supporting documents in a timely manner.

Assist with organizing visits for multiple guests including making travel arrangements.

Regularly update the Director’s CV

Handle correspondence and other communication for the Director.

Responsible for the coordination, planning, and execution of special unit events for staff, faculty, and Institute donors. Coordinate plans for various projects and events hosted by the Envirome Institute.

Ensure that the Director’s office and reception area are always in mint condition and that all needed supplies are available. Inventory office supplies, snacks and stockroom items for Executive offices and place replenishment orders. Make sure that all incoming mail and packages are distributed immediately.

Perform additional related duties as needed.

Compensation will be commensurate to candidate experience.
