Job Responsibilities

To provide a variety of administrative support and advanced office management duties for the Student Services Division (Enrollment Department). Prepares, edits, and proofreads information materials, correspondence, and other written materials for content, grammar, and punctuation accuracy. Compiles and maintains record of the value of property, equipment, and supplies. Responsible for operating word processing equipment to compile, type, revise, combine, edit, print and store correspondence, records, and other documents.

Organizes and maintains various departmental files and records, and inputs data. Performs a variety of tasks related to the development and maintenance of computerized departmental records. Designs and programs basic appropriate databases, and data management/reporting. Assists with general office support: answers phones and performs reception duties. Prepares documents, orders supplies, maintains appointment calendars, sets up meetings, takes photographs, and screens and distributes mail as needed.
Performs various day-to-day divisional administrative functions (i. e., arranging divisional travel, filing, coordinating activities of the One-Stop-Shop) with primary responsibility for the admissions application process by assisting students with applying for college, retrieving transcripts, answering questions, etc., to prepare student materials for final admissions decision.
Assists with planning and carrying out events, including, but not limited to, College admissions projects, college fairs, high school visits, and other such opportunities; attends events for administrative type support as needed; travels as needed to support Admissions staff.

Minimum and Additional Requirements

High School Diploma. Related clerical experience may be substituted for a high school diploma.

Ability to operate a personal computer, copier, and other office equipment.
Ability to type 50 wpm, and the ability to prepare correspondence, memos, and notices for distribution.
Specialized training in the work process and current office management practices; knowledge of grammatical rules and clerical formats.
Ability to communicate effectively both orally and written.
Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals.

Preferred Qualifications

Associate Degree, or High School Diploma+ 2 years related work experience. Selected positions may require the ability to type at a corrected rate of 35 -55 wpm and/or basic knowledge of computer operations.

Additional Comments

Valid driver’s license required. Working evening hours during peak registration is required.
