Description

The Environment and Energy department is seeking an Administrative Assistant. This position will provide administrative support to department staff by processing contracts, managing accounts payable and purchasing needs, and creating, updating, and maintaining trainings and staff resources.

Location and hours:

This position is hybrid and will be performed both on-site at the 625 Building located at 625 4th Ave S, Minneapolis, MN 55415 and remote as job duties require. Work hours will be Monday through Friday, 8 a.m. – 4:30 p.m. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin.

This is a full-time, benefit earning position.

In This Position, You Will

  • Lead a variety of department administrative functions, including serving as the department wellness coordinator, SharePoint site owner, and E-Learning coordinator.
  • Manage the Environment and Energy Director’s calendar.
  • Support accounts payable purchase orders, requisitions, and payments in AP Imaging.
  • Support direct pay payments, offer to perform services contracts, Staples ordering, and serve as a department purchase card holder.
  • Review, monitor, and enter contracts in APEX.
  • Evaluate and improve administrative processes.
  • Complete other duties as assigned.

Need to have:

  • One of the following:
    • Four or more years of experience i n general administrative work related to the management of departmental/organizational operations or in a specialty area appropriate to the position.
    • Bachelor's degree in public administration, business administration, or other field appropriate to the position.

Nice To have:

  • Experience:
    • Providing business and technical support to staff.
    • Developing, implementing, and administering training to staff.
    • Assisting with budget analysis and preparation.
    • Drafting and developing plans for program modifications and implementation.
    • Using Microsoft Office Suite and/or other similar applications to create reports, spreadsheets, presentations, etc.
    • Modifying and updating SharePoint sites.
    • Processing purchase requisitions, purchase orders and payments in AP Imaging.
    • Creating contracts in APEX.
  • Ability to:
    • Establish and maintain effective working relationships with internal and external customers.
    • Perform general administrative work.
    • Effectively communicate verbally and in writing.
    • Collaborate and contribute as a member of committees and task forces.
  • Knowledge of:
    • Administrative principles and practices relating to the management of department operations.
    • Various training techniques.
