Position Overview:

We are seeking a dedicated and organized Sales Transaction Administrator to support our dynamic real estate team. This role is essential ensuring exceptional service for our agents and clients and facilitating smooth transactions from listing to settlement. The ideal candidate will have strong administrative skills, attention to detail, and a customer-oriented mindset.

Key Responsibilities:

Listing and Pending Transaction Management:

Review new listings and pending transactions for completion and compliance (required documents, signatures, proper documentation of compensation)
Add pending transaction data to Lonewolf, generate transaction summary reports, and share them to appropriate parties
Ensure transaction commission and fees are properly documented and reported correctly to the accounting department
Escrow check scanning, deposit, and documentation completed in a timely manner
Maintain the settlement Google Calendar and confirm that agents have scheduled settlements
Track earnest money deposits (EMD) and ensure they are collected and deposited
Send settlement notices to agents and clients, order commission checks from title companies, and order escrow checks from accounting
Prepare conference rooms for settlement meetings
Scan and email closing documents, updating Dotloop and sharing necessary files with accounting

Office Maintenance & Inventory Management:

Ensure the office environment is neat and organized
Manage copiers by maintaining paper and toner levels
Order and stock office supplies and kitchen essentials
Maintain the lobby, workroom, and kitchen to ensure a welcoming atmosphere
Coordinate with vendors for office needs and maintenance
Coordinate and participate in Office Events

Front Desk Responsibilities

Greet visitors and guests with a friendly smile and positive attitude, creating a welcoming atmosphere
Offer guests a beverage (coffee, tea, water, etc.) upon their arrival to ensure their comfort
Direct guests to the appropriate conference or meeting room, providing clear instructions or escorting them as needed
Answer phone calls, and direct inquiries to the appropriate person/departments
Maintain a clean and organized reception area to ensure a professional and pleasant environment
Provide any necessary support to guests, including offering information or answering general questions about the office or facilities

General Responsibilities

Provide assistance to the Director of Operations/Office Manager as needed, help with office events, sales meetings, generation of reports, etc…
Provide assistance to Real Estate Agents in the office as needed, guide them to where they can find answers to their questions, & tools they may need to be successful in their business

Job Type: Full-time

Pay: $19.00 – $21.00 per hour
