Main Responsibilities:
Provides clerical support which may include preparation of admission, orientation, and new hire packets; monitoring and ordering office supplies and forms, typing, special projects, filing and copying.
Facilitates the communications system which may include: mail distribution, pagers, phone system, memo’s, answers incoming calls, documents and disseminates appropriate messages.
Assists with maintenance of personnel files.
Promotes the Agency’s philosophy and mission by presenting a positive image to patients, families, physicians, and community agencies. Provides computer support and data entry.
Provides effective communication to patient/family, team members, and other healthcare professionals, maintains confidentiality, assures paperwork compliance, scheduling/ staffing of patients, insurance verification, and assists in the orientation process to include scheduling requirements, education of paperwork deadlines.
Carry out other duties as assigned by the IDG.
Maintain documentation that demonstrates viable and ongoing efforts to recruit and retain volunteers
Provide training and orientation that is consistent with hospice industry standards and compliance with all local, state and federal laws. Maintain a written description of in-service training provided during the previous 12 months.
Assess and maintain documentation of volunteers skills and competencies.
Provide guidance related specifically to individual responsibilities.
Maintain documentation of the cost savings achieved through the use of volunteers including identification of each positions occupied by a volunteer; work time spent by volunteers occupying those positions; estimating the dollar costs the Agency would have incurred if paid employees occupied the position.
Ensure volunteers provide day-to-day administrative and/or direct patient care services in an amount that at a minimum, equals 5% of the total patient care hours of all paid hospice employees and contact staff. Ensures volunteers document to prove the value of work being done for patients and families.
Participate in the care planning process; documents on the Plan of Care (POC) for all patients receiving volunteer services; reviews and documents on the individualize POC as frequently as the patient’s condition requires but no less frequently than every 15 days.
Collaboratively develop and maintain policies specific to the volunteer program.
Ensure volunteers are aware of and in agreement with their duties and responsibilities; who to report to if they need assistance and instructions regarding performance of their duties and responsibilities.
Develop the volunteer program in collaboration with the IDG and administration.
Demonstrate knowledge of, and ensures compliance with, all local, state and federal laws relating to the recruitment, training & retention of volunteers.
Promote hospice goals, services and philosophy to ensure quality of care.
Establish a public relations program to foster good working relations with the volunteers & the community.
Requirements:
High school graduate (college preferred).
Knowledge or experience utilizing Homecare Homebase EMR is preferred.
One year general office experience, preferably in Healthcare.
Excellent computer skills required
Experience with database applications preferred.
Demonstrated interpersonal and organizational skills
