We are seeking an Administrative Assistant to perform duties for our executive leadership team, including coordinating presentations, planning internal and small client events, managing travel and meetings, preparing reports, handling expense reports, managing calendars, and supplies.
JOB RESPONSIBILITIES:
Prepare attractive PowerPoint presentations for executive meetings and assist with consolidating large presentations for internal use.
Manage multiple priorities effectively, ensuring deadlines are met.
Coordinate internal events and some external client events.
Make travel and meeting arrangements.
Prepare reports and analyze financial data from raw sources if needed.
Provide basic technical support as the initial contact.
Prepare meeting agendas, support materials, and arrange facilities.
Oversee delegated tasks to ensure progress and deadlines are met.
Keep projects on schedule and manage administrative details.
Prioritize incoming requests and initiate preliminary work, engaging key resources and coordinating communication.
Research, draft, and abstract reports.
Handle phone inquiries appropriately based on knowledge level.
Assist in achieving department goals.
Order and maintain supplies for the Lincoln office.
Support general office needs and collaborate with the facilities team as necessary.
EDUCATION:
Associate degree or Bachelor’s degree preferred, or equivalent experience.
EXPERIENCE:
At least 4 years in an administrative role.
Experience extracting data and generating reports.
Project coordination experience.
Ability to work well with all management levels, clients, and vendors.
Research skills and proficiency with computer applications.
COMPETENCIES – SKILLS/KNOWLEDGE/ABILITIES:
Proficiency in Microsoft Office Suite.
Ability to manage multiple priorities.
Attention to detail and accuracy.
Excellent organizational and time management skills.
Strong follow-up and task completion skills.
Project coordination capabilities.
Excellent written and verbal communication skills.
Understanding of IT concepts and data extraction tools (SQL, reporting languages, etc.).
Flexibility and adaptability to change.
Compensation ranges from $19.62 to $36.88, based on experience.
