Position Summary:

We are seeking an Administrative Assistant to provide support to our property management team and oversee certain day to day property management duties. This is a key role that requires effective communication and ability to handle issues as they arise in a timely and decisive manner. The ideal candidate is comfortable as the primary point of contact for residential tenants and vendors and as the assistant for other administrative tasks. The ideal candidate is well organized, detail-oriented, excels at time management, and thrives in a busy workplace.

Key Responsibilities:

Act as the primary day-to-day point of contact for residents, owners, vendors, and landlords
Monitor lease compliance and handle resident issues or lease violations
Manage repair requests, maintenance activities, and vendor scheduling
Handle expense tracking, and monthly reporting
Assist with advertising and scheduled showings of vacant units; process rental applications, and prepare lease documents for review and signing
Maintain organized and accurate records of all activity on the property
Stay informed on rental laws and housing regulations
Conduct annual property inspections, including scheduling, preparing inspection forms, and following up on maintenance items
Monitor on-site management staff for compliance with operational standards
Report material lease defaults/violations/notices to appointed legal counsel and assist with any further request for documents
Perform additional administrative tasks or projects as assigned by management
Provide administrative support to the commercial property managers
Support preparation of monthly reports and budget tracking
Help coordinate vendor scheduling and property inspections
Assist with document preparation, filing, tenant communications and tenant insurance tracking
Provide backup support for front desk operations as needed
Perform additional administrative tasks or projects as assigned by management

Qualifications:

Minimum 5 years of experience in an administrative or property management support role
Strong communication skills (verbal and written) and professional, yet friendly, demeanor
Excellent organizational skills and attention to detail
Proficiency in Microsoft Office (Word, Excel, Outlook)
Ability to manage multiple priorities
Valid CA driver’s license, insurance, and reliable transportation

Preferred:

Familiarity with property management software (Yardi or similar)
Prior residential property management experience
Knowledge of landlord/tenant laws and fair housing regulations is a plus
Bilingual (English/Spanish)
Real estate license

Pay: $24.00 – $28.00 per hour
