CLASS TITLE: Administrative Assistant II CLASS CODE: 7765
REPORTS TO: Principal/Designee EXEMPT STATUS: Non-Exempt
BASIC FUNCTION:
Perform various specialized secretarial and administrative support duties; organize and coordinate office activities and communications to assist the administrator with assigned functional areas of responsibility, including financial tasks and reports. This may include sports, boosters, and district finances.
REPRESENTATIVE DUTIES:
Perform various specialized duties independently supporting the building/department’s functions; interpret and apply rules and regulations as appropriate; and assist the administrator with administrative details, including financial tasks and reports
Facilitate communication between the administrator and stakeholders
Research, review, correct, and compile various information; verify data for accuracy, completeness, and compliance with established procedures; input and retrieve computerized data
Schedule meetings, conferences, and appointments for the assigned administrator; maintain the administrator’s calendar; arrange travel accommodations as necessary
Respond to requests for information from students, staff, and the general public
Compose various documents; prepare and maintain various records, logs, and files, including confidential information, while maintaining confidentiality
Receive, process, and route mail; order, issue, and maintain building/department supplies, and equipment.
Monitor office workflow and ensure compliance with established timelines, procedures, and quality standards
Verify eligibility for program participants, maintain attendance records, and track enrollment
Demonstrate punctuality, professionalism, appropriate appearance, and consistent, reliable attendance
Perform other duties as assigned by the supervisor or designee
KNOWLEDGE, SKILLS, AND ABILITIES:
Requires speech, vision, and hearing capabilities
Work involves both indoor and occasional outdoor activity
Stand & move for extended periods; lift, push, pull, carry, etc. up to 25 lbs. repetitively; kneel, crouch, sit, etc.
Use technology, including computers, interactive whiteboards, audio-visual equipment, etc.
Adhere to the Professional Code of Ethics and follow all board and school policies

QUALIFICATIONS AND REQUIREMENTS:
Any combination equivalent to: High School diploma, G.E.D. certificate, or demonstrated progress toward obtaining a G.E.D. as required by Kentucky law.
Minimum of three years of experience in a related field
