Job Title: Executive Assistant

Department: Human Resources

Reports To: CEO

FLSA Status: Non-Exempt

Summary:

The Executive Assistant provides administrative support to the Executive Leadership Team, Board of Directors, and as needed Human Resources. This role is designed to enhance the effectiveness of these key groups by providing high-level administrative and technical support.

Essential Duties and Responsibilities:

Achieve Results:

Prepare and edit correspondence, communications, presentations and other documents.

Facilitate scheduling and travel for Executive Leadership Team.

Maintain calendars and coordinate meetings for Executive Leadership Team.

Prepare materials and other planning for health center board meetings/retreats/etc.

Produce reports, memos, and other senior level correspondence.

Maintain and coordinate filing systems.

Safeguard confidential information.

Taking Board and Executive Team meeting minutes, etc.

Support the Provider privileging process by helping get Executive Team signatures and update the K-base.

Manage policies and procedures through document management system

Coordinate staff meetings and company events

Additional duties as assigned (e.g., publication design, website content update, etc.).

Operational Excellence

Conserve executives’ time in as many ways as possible.

Ensure the efficient operation of the Executive team’s files, projects and meetings.

Maintain clear and accurate Executive and Board level records.

Relationships

Maintain effective, positive relationships amongst the Executive Leadership Team, Board of Directors, and staff at large.

Uphold and consistently represent the mission, values, and policies of North Olympic Healthcare Network.

Maintain and respect confidentiality of communication and documentation.

Essential Functions/Key Competencies:

Proficient computer skills and in-depth knowledge of relevant software such as Microsoft Office Suite.

Experience and interest in internal and external communications.

Knowledge of advanced office administrative practices and procedures.

Education: At least a high school diploma or equivalent.

Experience: Demonstrated experience, training, and knowledge in a professional setting, experience record keeping, Experience in providing quality customer service in difficult situations.

Skills: Demonstrate experience in the Microsoft Office suite applications and other software. Excellent communication skills, strong organizational skills. High level of professional demeanor, with excellence in communication and customer service skills.

Language: Written and spoken English required

Physical Demands:

May require prolonged sitting, some lifting of office equipment.

Work Environment:

Fast-paced community health center setting, potential exposure to infectious diseases, interaction with diverse patient population.
