JOB DESCRIPTION
Job Title: Office Administrator
Reports to: Minister
Status: Part time, hourly, non-exempt (30 hours /week Monday through Friday from late August to mid-June; and 15 hours per week for the summer).

POSITION SUMMARY
The Congregational Administrator is the communication hub of the church’s day-to-day operations. The Congregational Administrator is responsible for a broad variety of functions for the smooth operation of the church program with minimal guidance from the Minister. The Congregational Administrator coordinates all office functions including but not limited to: administrative and business communications, website maintenance, database management and record keeping, facilities management including supervising the facilities coordinator and all rentals, as well as administrative support for the Minister, Board of Managers and Jones Partnership Committee.
RESPONSIBILITIES
OFFICE ADMINISTRATION AND MANAGEMENT
Performs office reception and clerical duties, including but not limited to routing mail, answering phones, receiving the public, copying, filing, correspondence
Participates in team staff meetings
Orders office supplies, maintains well-organized paper and electronic records
Produces weekly Order of Service and church bulletin – editing, proofreading, copying and assembling, and also distributes via email with Zoom instructions for online attendees
Scans and submits invoices to be paid and timesheet information to the church’s accounting firm
Manages church calendars, including zoom calendar, and coordinates room reservations
Maintains congregational awareness of security and fire alarm systems, key management policy, and emergency plans
COMMUNICATIONS
Edits and produces weekly electronic newsletter and updates church website
Maintains the church’s membership database and supports Membership Committee members in tracking and contacting members and newcomers
Updates the Parish membership directory electronically on a regular basis
FACILITIES MANAGEMENT
Manages rentals: prepares contracts, provides access and communicates usage policies, and tracks payments. Acts as liaison to long-term tenants
Programs the electronic front door to ensure that access to the building meets the needs of renters and congregants
Programs the heat and /or air conditioning to ensure the comfort of those using the building as a meeting place
Acts as the church liaison for one-off renters, and follows the booking procedures to facilitate communication with the other staff and congregants involved in supporting the rentals
Supervises and acts as a resource to part-time Facilities Coordinator
LEADERSHIP SUPPORT
Provides administrative support to the minister, staff team, and members of the Board as needed
Coordinates and produces the First Parish Annual Report
WORK SCHEDULE
30 hours per week, Monday through Friday from late August to mid-June (42 weeks); and 15 hours per week for the remaining summer weeks. There is some flexibility in scheduled hours.
QUALIFICATIONS
Excellent written and oral communication skills and organizational skills
Proficiency with MS Office – Word and Excel; Google applications – drive, docs, sheets; database software; internet-based tools including content management software; security management; ability and motivation to learn new software and processes
Knowledge of Zoom
Basic troubleshooting skills with office machines and computer issues
Experience in vendor relations, equipment contracts, ordering and maintaining office supplies
Knowledge of basic building operations
Preferred:
Associate’s or higher college degree
Five years minimum experience in office management in a church or small non-profit organization

SALARY AND BENEFITS
The hiring range is from $26.00 to $28.00 per hour. The exact salary is determined by the successful candidate’s expertise and years of experience.
May enroll in the UUA term life, health, and dental insurance plans with limited level of contribution from First Parish. Available after 6 months of service: 10 vacation days per year, accrued at 10/12 or .83 days per month; 10 paid holidays; up to 5 paid sick days per employment year for personal illness or injury and illness or injury of a family or household member. After one year of service: participation in UUA retirement plan.
