While ClubTrust offers talent attraction solutions to Luxembourg financial institutions and we get from our past experience an excellent understanding of insurance business, we have been mandated by a financial company to Search & Select anAdministrative Assistant (M/F)for the Head office in Luxembourg.

The role:

The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.

The Administrative Assistant will be supporting and working alongside the Assistant Administrative Manager to the EMEA Division Manager; the duties and responsibilities will include but not be limited to the following:

Meeting, greeting, and attending to the needs of guests, ensuring the relevant person is notified of their arrival.

Monitor entry of reception and ensure all visitors are assisted in a timely manner.

Coordination of deliveries and courier collections, including internal courier between boutiques and Head Office.

Arrange Taxi bookings for team members.

Organise and maintain office supplies.

Maintain the office to excellent conditions as per the Company standards.

Work alongside Office Co-Ordinator for meeting room coordination and setup for meetings and events, ensuring that rooms are always kept to a high standard.

Monitor Reception Inbox and distribute to relevant departments.

Receive and distribute all post, as well as arranging outgoing documents.

New Staff Induction: Coordinate with IT to ensure all equipment is ready and distributed, and support the induction of new staff members.

Local Intranet Pages: Update the intranet for the Luxembourg office in collaboration with HR in Paris and the Administrative Assistant Manager.

Facilities Support: Conduct office checks and work with the cleaning company and building management to address issues.

Storage Management: Move and store items as needed in designated areas.

Document Management: Store documents securely and according to procedure.

Research Skills: Utilize search engines like Google, Amazon, and local supplier websites effectively.

Ad-hoc admin support.

Your profile:

Fluency in English and French (any other language is a plus).

A previous experience at an administrative assistant/receptionist position, dealing with senior management and executives.

Proficient in Microsoft Office suite.

Demonstrating dynamism, strong attention to detail, great time management and organization skills.

Excellent presentation and interpersonal skills.

Additional information:

Must be able to work full-time (40 hours per week).

Hours: 08:00-17:00 fully based at the Head Office.
