Under the direction of the Vice President for Marketing and Communications provides executive assistance and support to the VP and members of the SMC leadership team by serving to manage, coordinate and maintain the operational aspects of the office on a day to day basis, ensuring that the office is run in an efficient, responsive, and accurate manner. This position will act as liaison between key stakeholders, prepare material, record minutes, and coordinate logistics for meetings. Provide confidential and discreet service on behalf of the Office of the VP and stakeholders. Perform research and special projects as assigned. Provide training and technical work direction to operations staff. Respond to a wide variety of special requests from students, parents, donors and community members and organizations. Perform other duties as assigned.
This position is in person in Orange, CA. The successful candidate will be expected to be in the office five days per week.
Responsibilities
Administrative Support
Support the Office of the VP in order to ensure the attainment of unit and institutional goals and objectives.
Manage multiple priority activities that require coordination with senior leadership, community members and community organizations.
Act as a liaison between key stakeholders and SMC senior leadership.
Represent the Office of the VP as appropriate, providing confidential and discreet service on behalf of the VP.
Manage the VP’s calendar and appointments, including travel plans and expense reports.
Perform a variety of highly responsible, confidential and complex administrative support. Development of Power Point presentations, information and memos.
Prepare a variety of correspondence for the VP, including emails, memos, and letters.
Track activity and achievement for separate campaigns, events, and projects.
Review, interpret, and make recommendations on organization policies, identify and resolve issues regarding administrative and fiscal matters
Office Management
Manage the daily operations aspects of the Office, ensuring that it is run in an efficient, responsive, and accurate manner.
Facilitate the smooth flow of work and office operations, including proactive communication with SMC staff on department operations.
At the direction of the VP and other administrators, help to track the office’s budget as needed and advise on university budgetary and financial policies.
Create a communicative and friendly environment to promote positive interaction between the university and board members, administrators, staff, faculty, and students and the public.
Manage staff onboarding to create a welcoming environment for new employees and work with HR on personnel transactions.
Handle communication activities on behalf of the VP, including phone and mail.
Maintain office supplies
Manage selection process and performance of administrative assistant and/or student workers as needed, ensuring high standards are maintained.
Ensure that university deadlines are met regarding a variety of administrative processes. · Develop systems to monitor deadlines and regularly evaluate SMC administrative systems and services.
Other Administration
Triage requests that come into SMC as appropriate and help to problem-solve on behalf of the office. As the public information arm of the university, we often receive phone calls and emails that need to be transferred and followed up on.
Required Qualifications
Bachelor’s Degree or equivalent combination of education and experience.
Minimum of three years’ experience providing administrative and executive support to a member of upper management; five year preferred.
Skilled in the area of office and/or project management. Must have demonstrated experience in organizing multiple and complex tasks and working on multiple projects simultaneously, under conditions of pressure and competing interests.
Strong commitment to customer service and team building.
Strong interpersonal skills to communicate effectively with a wide variety of constituents including deans, senior staff, prospective donors, trustees, volunteers and campus leadership.
Skill to coordinate and organize meetings and/or special events.
Meticulous attention to detail.
Ability to exercise initiative and independent judgment and to work with reasonable independence.
Excellent writing and grammar skills and proven experience in editing and proofreading.
Skill to develop and maintain recordkeeping systems and procedures. Budget management experience a plus.
Proven ability to plan, organize, implement, evaluate, and modify administrative support needs.
Proven ability to analyze, troubleshoot and resolve problems.
Proven ability to gather and analyze data and prepare reports for management.
Must have computer skills in the use of word processing, spreadsheet, presentation, and database software.
Skill to use standard office equipment such as copier, telephone, etc.
Data entry and typing skills to efficiently and accurately process the assigned work.
Ability to use tact and diplomacy and to exercise a high degree of confidentiality.
Expertise with Microsoft Office Suite with advanced knowledge of PowerPoint

Pay: $71,000.00 – $84,000.00 per year
