Alpert JFS is seeking a detailed and customer service orientedAdministrative Assistantto provide support to our agency through a wide range of administrative related activities and specific assignments.

Administrative Assistant Essential Responsibilities:

Provide administrative support including but not limited to managing schedules, handling correspondence, follow up, organizing meetings and events, preparing presentations, and research.

Manage records by filing and maintaining documents; maintain privacy and confidentially of all materials – electronic and hardcopy.

Arrange meetings, programs, events, or conferences by arranging for facilities and caterers.

Prepare records such as agenda, notices, minutes, and resolutions for corporate meetings.

Assist in the preparation and filing of corporate legal documents with government agencies to conform with statutes.

Maintain and act as custodian for Official Corporation records.

Compose and prepare confidential correspondence, minutes, reports, and other complex documents.

Schedule, coordinate, and prepare for Executive and Board meetings and other recurring or ad-hoc meetings; responsibilities include agenda preparation, room setup, and general logistics to ensure a smooth participation experience.

Schedule and maintain conference room reservations on behalf of all agency staff.

Assist in the coordination of the Agency’s annual offsite meeting.

Prepare the Conference room for weekly Friday morning staff meetings and take and disseminate minutes.

Back up for front desk when needed.

Requirements:

High school diploma.

Five plus years of experience as an Administrative Assistant.

Highly proficient in MS Office.

Experience supporting C-level executives and working with the Board of Directors a plus.

Strong interpersonal skills, including excellent written and verbal communication skills.

Strong attention to detail.

Strong organizational skills.

Ability to communicate professionally with executives, Board members, and regulators.

Ability to work autonomously, using discretion as appropriate.

Ability to manage and maintain confidential information.
