An administrative assistant is the supportive force behind both, and we are currently seeking someone exceptional to take the helm. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention for detail. The candidate should also have experience working in an office environment, performing administrative/Human Resource tasks, and providing support to coworkers. An ability to multitask, work alone most of the time, and meet changing deadlines is essential to the position. Essential Job Functions : Respects the confidentiality of the materials contained within the department concerning our associates’ employment relationships. Provide front-desk coverage by managing a multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment. Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxes. Help plan, organize, and schedule company meetings in the office, off-site, and via videoconference. Order and oversee food deliveries for group meetings. Schedule and coordinate onboarding assignments and training sessions Assist the HR manager with formulating policies, procedures, and changes, as well as communicating all updates to employees Assist the HR Generalist with the lifecycle of employees from recruitment to exit interviews/terminations documentation. Receives and distributes office mail. May assist with preparation of human resource reports such as attendance, new hire, and turnover reports. Perform other duties assigned. Supervisory Responsibilities: ~ None. Required Skills/Abilities: Excellent organizational skills and attention to detail. Extensive knowledge of office management systems and procedures. Ability to operate general office equipment. Excellent written and verbal communication skills. Ability to type 40 words a minute. Proficient in Microsoft Office Suite or similar software. Ability to maintain confidential information. Education and Experience: High school diploma or equivalent required. Two years of administrative assistant experience preferred. Knowledge of ERP system, PLEX is preferred. Physical Requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
