For 30 years, School Health Clinics of Santa Clara County has offered low-cost, high-quality medical services to low-income families. Our mission is to provide high-quality, affordable primary medical care for the low-income community. Research has shown that providing low-income and minority students with healthcare and health education gives kids a chance to stay in school and perform better academically. Although we began as pediatric clinics, we now extend our services to adults. No one is ever turned away due to their inability to pay. All five clinics are located on school grounds in Santa Clara County, right in the neighborhoods where our patients live. Our staff is bilingual and multicultural so our patients can easily understand the medical advice that is given and is not intimidated because of a language barrier.
Job Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks efficiently. This position requires strong organizational skills, proficiency in office management, and a commitment to providing excellent customer service.
Duties
Provide clerical support including filing, data entry, and document management.
Manage office supplies and inventory to ensure smooth operations.
Utilize Google Suite for scheduling, document creation, and communication.
Answer phone calls with professionalism and maintain effective phone etiquette.
Assist in organizing meetings, preparing agendas, and taking minutes.
Handle correspondence and maintain communication with clients and team members.
Maintain an organized filing system both digitally and physically.
Support various administrative tasks as needed to enhance team productivity.
Process vendor invoices and ensure timely payment in accordance with company policies.
Maintain accurate records of all accounts payable transactions and reconcile discrepancies.
Collaborate with other departments to resolve any invoice or payment issues.
Support payroll processing as needed.
Assist in audits by providing necessary documentation and reports related to accounts payable
Requirements
Proven experience in an administrative or clerical role is preferred.
Proficiency in Google Suite applications (Docs, Sheets, Drive).
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent phone etiquette and customer service skills.
Effective time management abilities to prioritize tasks efficiently.
Familiarity with office management practices is a plus.
Ability to work independently as well as part of a team.
A proactive approach to problem-solving and attention to detail.
