Job Summary
CASA of Baltimore County is seeking an excellent Executive and Administrative Assistant to work in the dual capacity of providing direct administrative assistance to the Executive Director and managing day-to-day office operations. This position requires strong organizational, computer and administrative ability, and the capacity to work independently to perform a broad range of tasks with limited supervision. We have a dynamic staff and office culture, and we value collaboration and taking initiative.
Job Responsibilities
Direct support to the Executive Director:
· Maintaining schedule/calendar, including scheduling meetings
· Composing emails and documents on their behalf
· Enter donations into our donor database
· Print and mail acknowledgement letters and receipts to donors
· Assisting with filing
· Gathering statistical information for presentations and grant requests
General Administrative Support:
· Answer and direct phone calls appropriately
· Greet and direct visitors and volunteers
· Provide administrative support to staff as needed
· Provide support to Program Director related to database management
· Be the main point of contact for office vendors, including ordering supplies and arranging pick-ups, etc.
· Maintain organization of the supply room, kitchen, and training room, and order supplies as needed
· Provide administrative support for special events, holiday gift drive, etc.
· Complete other tasks as assigned, which may be complex and require anticipation of needs and circumstances
Qualifications
· Minimum of 2 years related experience
· College degree preferred but can be substituted for additional experience
· Strong written and oral communication skills
· Proficiency in MS Word, Office, and Excel, including mail merges
· Comfort using databases, including importing/exporting data
· Ability to learn new software programs
· Strong organizational skills and ability to coordinate complex activities, prioritize conflicting demands, and meet deadlines
· Accuracy and attention to detail
· Excellent grammar, editing and proofreading skills to produce complete and accurate correspondence and reports
· Demonstrated telephone and interpersonal skills; a high degree of professionalism, diplomacy and composure; and the flexibility to adapt to a variety of situations
· Ability to work with minimal supervision and take initiative and responsibility for completing tasks

Job Type: Part-Time (20 hours)
Work Environment: In-person on Tuesday, Wednesday, and Thursday
Salary: $30,000
Benefits
· Vacation Time – 40 hours for the first year; increases to 60 hours after 1 year
· Sick Time – 60 hours per year
