Administrative Assistant – Part-time – Red Deer
The Data Administrative Assistant will ensure a positive first impression of CBI Home Health for internal (employees, contractors) and external (public, vendors, funders) stakeholders. Effectively listening and asking questions to ensure calls and inquiries are directed appropriately, the Administrative Assistant ensures excellence in customer service and timely responses. The role also provides administrative support to the local Home Health team by executing administrative processes and tasks.
20 Hours per week in office
Required Qualifications:
Diploma or Certificate in Business Administration, Medical Administration, or related field
Minimum 1 year of experience in Customer Service or an administrative role
Key Responsibilities:
Use effective and courteous communication skills to answer phones, greet visitors, respond to questions, and collect information to direct inquiries
Manage multiple phone lines, emails, and inquiries, prioritizing requests effectively
Participate in administrative projects, create client/employee files, and maintain records and filing systems
Operate photocopier, stock supplies, scan, copy, and file documents
Organize, prepare, mail/email, and collect client and employee communications or documents; manage emails and incoming mail; handle outgoing mail and couriers
Support organization and preparation of staff meetings, orientations, and other functions
Maintain office staff lists, staff duties lists, bulletin boards, kitchen, and general office areas as applicable
Proficient in Microsoft Office Suite and handling multi-telephone line systems
Apply analytical problem-solving skills
Remain calm and professional in stressful situations
Be detail-oriented, adaptable, and organized
Manage time effectively and prioritize tasks independently
