POSITION SUMMARY:
As the Office Manager and Financial Assistant, the successful candidate will support the Deputy Director of Finance and Compliance by managing daily office operations and providing financial and administrative support. This role acts as a key contact for finance, compliance, and operational matters, and also assists with reporting, outreach, and external relations. Strong organizational and technical skills are essential, as the position requires managing multiple projects independently in a fast-paced environment.
ESSENTIAL FUNCTIONS:
Completes a wide variety of finance and administrative tasks for the ODR Deputy Director of Finance and Compliance, including composing and preparing correspondence, scheduling meetings and events, and generating reliable, transparent and timely information through reports and trackers.
Oversees general office operations through the coordination of office activities, operational needs, staff requests and managing office supplies inventory, maintenance and vendor services.
Perform clerical duties including but not limited to producing memos, maintaining files -both electronic and manual, answering and forwarding phone calls, facilitating the transfer of documents – as well as photocopying, scanning, and packaging.
Assists in coordinating the agenda for meetings, tracking an account of the meetings, and distributing and following up on assigned action items.
Fulfil financial tasks including review, tracking, and processing of invoices, vendor management, purchasing and reimbursements and act as a liaison to the Public Finance Authority accounting and administrative teams.
Researches, prioritizes, and follows up on issues and concerns addressed to the ODR Deputy Director of Finance and Compliance and determines the appropriate course of action.
Establishes workflows, systems, and protocols to optimize efficiency and productivity within the office.
Completes and prioritizes critical tasks with a hands-on proactive approach, communicating both verbally and in writing – internally and externally, across multiple offices and locations, often with deadline pressures.
Ability to proficiently utilize MS Suite, especially MS Excel and Outlook, to prepare reports, trackers, manage calendar, presentations, as well as maintain files systems, records, and correspondence for meetings.
Arrange travel, accommodations, itineraries, and all correspondence for team and plan, organize and implement events when warranted.

POSITION REQUIREMENTS AND QUALIFICATIONS:
A. Education Level
Bachelor’s Degree, or higher, in Business Administration, Accounting or related field preferred.
B. Experience
Five (5) years of experience in office management and/or supporting administration at the supervisor level required.
