Position Overview:
We are seeking a dynamic and highly motivated Office Coordinator to join our team. The ideal candidate will thrive in a fast-paced environment, possess excellent communication skills, and demonstrate a strong ability to learn and adapt quickly. As the Office Coordinator, you will play a crucial role in ensuring the smooth operation of our busy med spa by managing various administrative tasks, providing exceptional customer service, and assisting with social media content creation.

Responsibilities:

Greet and assist clients with warmth and professionalism, ensuring a positive experience from arrival to departure.
Manage incoming calls, emails, and inquiries, providing accurate information and directing queries to the appropriate staff members.
Maintain cleanliness and organization in the reception area and common areas, including light cleaning duties as needed.
Assist with social media content creation and scheduling, including posts highlighting our services, promotions, and client testimonials.
Coordinate appointment scheduling and follow-up communications, ensuring timely reminders and confirmations.
Assist staff with administrative tasks, such as data entry, filing, and inventory management.
Act as a liaison between clients and staff, facilitating communication and addressing any concerns or feedback.
Support marketing initiatives by participating in community events, promotions, and outreach efforts.
Continuously seek opportunities for improvement and contribute to the overall success of the med spa through collaboration and teamwork.

Qualifications:

High school diploma or equivalent; additional education or training in office administration or customer service is preferred.
Prior experience in a customer service or administrative role, preferably in a healthcare or spa environment.
Strong communication skills, both written and verbal, with the ability to interact professionally with clients and staff.
Proficiency in social media platforms and content creation tools, with a creative eye for engaging and relevant posts.
Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
Positive attitude, enthusiasm, and a willingness to learn and adapt to changing priorities.
Ability to maintain confidentiality and professionalism in handling sensitive information and client interactions.
Flexibility to work evenings and weekends as needed to accommodate the needs of the med spa and its clients.
