The Opportunity

We are looking for a proactive, highly organized Administrative Assistant to serve as a vital support engine for our recruiting and operations teams. This role is designed for a self-starter who thrives in fast-paced environments and takes pride in the "zero-inbox" mentality. You will work closely with our Chief of Staff and Ops Lead to manage complex ATS workflows, audit candidate data, and triage critical communication channels. If you are detail-oriented, eager to master new systems like Gem and HubSpot, and ready to ensure that no operational task slips through the cracks, you’ll be a perfect fit for our team.

What Your Day-to-Day Will Look Like

  • Recruiting & ATS Management: Upload and manage jobs in Gem, process inbound applications, and ensure all candidate statuses and screen dates are updated accurately following daily client meetings.
  • Database Auditing: Review historical cold outreach to relabel engaged contacts and audit "Interested" candidates to ensure they are mapped to the correct job flows and client ATS systems.
  • Inbox Triage: Own and process multiple operational inboxes (TOM and Ops), prioritizing and routing requests to ensure timely team responses.
  • Operational Maintenance: Update candidate scorecards, manage tasks in HubSpot, and set up Google Alerts for key target companies.
  • Administrative Coordination: Support the Chief of Staff and Ops Lead with ad-hoc projects, including the administrative execution of client onboarding and offboarding.
  • Data Integrity: Perform bulk candidate updates and ensure all internal records reflect real-time recruitment activity across various platforms.

What You Bring

  • Exceptional Organization: A high level of attention to detail with a proven ability to manage multiple tools, inboxes, and workflows simultaneously.
  • Proactive Initiative: A self-starter mindset—you identify operational gaps and take action without needing constant direction.
  • Strong Communication: Clear and professional written and verbal communication skills for internal team coordination.
  • Fast-Paced Adaptability: Comfort working in a high-velocity environment where priorities can shift quickly.
  • Technical Aptitude: An eagerness to learn new systems; prior experience with ATS platforms like Gem or CRM tools like HubSpot is a significant advantage.

Bonus Points if:

  • You have prior experience in Recruiting Operations or as a Recruiting Coordinator.
  • You are a power user of Gem, HubSpot, or similar workflow automation tools.
  • You have experience supporting C-level or executive leadership in a remote-first startup.

  • Step 6 Client Interview: You’ll meet the client to discuss how you’ll help them scale and succeed. Bring your metrics and be on your A-game – this is your last chance to make a great first impression!
