The Administrative Assistant plays a critical role in supporting day-to-day operations at Gray Operations Group. This position is designed to ensure organizational efficiency through administrative support, client coordination, and streamlined communication. The role is instrumental in managing high-volume shared inboxes, prioritizing requests, and ensuring a responsive and professional experience for both internal stakeholders and external clients.
Description
CORE RESPONSIBILITIES:
Inbox Management & Client Support: Monitor and triage shared email inboxes; prioritize incoming requests; delegate tasks to appropriate team members; draft responses or escalate as needed to ensure timely client support.
Administrative Coordination: Provide calendar management and scheduling support across the team; assist with internal documentation, meeting notes, and report formatting.
Client Interaction: Act as a point of contact for incoming client communications; coordinate follow-ups, confirm appointments, and ensure a smooth handoff to consulting teams.
Internal Operations: Support vendor coordination, ordering, and delivery tracking; assist with onboarding documentation, process workflows, and other internal administrative duties.
Task Tracking & Follow-Up: Maintain task lists, ensure deadlines are met, and proactively follow up on outstanding items.
Requirements:
Education:
High school diploma or equivalent
Experience:
2+ years in an administrative or client service support role, preferably in a fast-paced professional environment.
Knowledge/Skills:
Proficiency in Microsoft Office Suite, Teams, and Outlook.
Exceptional organizational skills and attention to detail.
Strong written and verbal communication.
Ability to manage competing priorities and adapt to changing demands.
Customer service mindset with a collaborative attitude.
Preferred Requirements:
Associate’s or Bachelor’s degree
