Full Job Description

Under the direction of the Public Works Director, the Administrative Assistant (Public Works Administrator) provides administrative support to the Public Works Director and the Public Works Department, in addition to holding responsibility for other projects and job duties as defined by the Public Works Director. The individual selected for this role requires comprehensive knowledge of the organization and skill in working with issues related to policy, procedures, and confidential matters. The Public Works Administrator also collaborates, initiates, and supports opportunities with other functions by championing the goals and priorities of the Tribe in a manner that faithfully reflects and upholds the Tribe’s vision, mission and values.

Essential Duties & Responsibilities

1. Maintains the Public Works Department Computerized Maintenance Management System (CMMS), eMaint, coordinates all work orders with the appropriate Public Works Division. Follows up to ensure that customer needs are met.

2. Prepares, manages, and maintains the calendar for the Public Works Director. Schedules all weekly appointments, Webex conferences, plans and organizes meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.

3. Assists with audits of various expenditures as needed in order to determine cost-effectiveness and ensures expenses are within budgetary guidelines.

4. Assist the Public Works Director upon request with special projects, research of files to compile information for review, preparation of monthly and annual reports, etc.

5. Types transcriptions, meeting notes, and other materials from copy created by others using computer and/or automated office equipment, in addition to proofreading materials. Assists in the reproduction, compilation and distribution of all reports and electronic data.

6. Possesses the ability to effectively project in a professional manner communicating via, letters, memorandums, telephone calls, e-mails or in person, in addition to possessing the ability to speak clearly and persuasively in positive or negative situations, including listening well, getting clarification and responding well to questions.

7. Prepares and maintains records and correspondence with other departments and contractors/vendors.

8. Receives and screens visitors, and refers them to appropriate departments to provide immediate satisfaction and project a professional image on behalf of San Manuel Band of Mission Indians (SMBMI).

9. Receives and screens telephone calls, takes messages, transfers calls to voice mail, reviews voice mails, or refers calls to appropriate departments as necessary to provide caller satisfaction and assure efficient communication.

10. Assumes other responsibilities, duties, tasks and assignments that contribute to the mitigation or response to public health emergencies.

Education/Experience/Qualifications

High School Diploma or GED required; Computerized Maintenance Management System (CMMS) experience preferred.

Minimum of four (4) years related clerical experience required.

Equivalent combination of education and progressive, relevant and direct experience may be considered in lieu of minimum educational/experience requirements indicated above.

Working knowledge of office equipment, such as a fax machine, copy machine, calculator and a PC.
