- ABOUT THE POSITION:** Spokane Valley is seeking a highly qualified and enthusiastic employee to serve our City as a regular, full-time Administrative Assistant in our Public Works Department. The ideal candidate will have experience administering and tracking individual fund accounts through invoice processing and yearly budget preparation, receiving/managing citizen calls/concerns, assisting with staff needs, preparing contracts. reviewing bid documents and procedures, preparing contracts, change orders and other construction related contract activities Experience in the engineering and construction field is highly desirable.

- SELECTED EXAMPLES OF DUTIES:** Receives and responds to citizen calls. Process invoices, purchase orders, reimbursement and credit card expenses. Order and maintain inventory of office supplies. Assist with creating, routing, processing, maintaining contracts. Prepares and sends out weekly Traffic Alerts. Assists with fleet management, staffing onboarding, tracking of employee software, employee training. Tracks and provides forecasting for various funds for the Public Works Department, and other budget administration to maintain departmental financial records. Assist with the development of the annual department budget. In addition, also performs a variety of routine and semi-skilled clerical, secretarial and administrative work in maintaining files and records, providing administrative support to technical and professional staff, document processing, updates to the department webpages, gathering and providing city records for public records requests, and assisting in the administration of the standard operating policies and procedures of the department.
- DESIRED MINIMUM QUALIFICATIONS:** **Education and Experience**: Graduation from a high school or GED equivalent supplemented by two years of post-secondary training or course work in accounting, secretarial science, office management, bookkeeping, business or public administration, or a related field, and three (3) years of increasingly responsible related experience in public works or engineering and construction. Equivalent combination of related education and experience may be considered.**Necessary Knowledge, Skills and Abilities**: Working knowledge of computers and electronic data processing; knowledge of modern office practices and procedures; budgeting, accounting and reporting systems for municipalities. Skill in the use of standard Microsoft Office Business Suite software and Outlook applications. Ability to perform tasks accurately and with little direction. This position requires considerable knowledge, ability and skill in the principles and practices of excellent customer service as practiced in both the private and public sectors.
