We are seeking a Secretary II to provide support to the Professional and Administrative Support Services at Naval Surface Warfare Center, Port Hueneme Division (NSWC PHD).

So, what will the Secretary II at Terrestris do?

As the Secretary II, you will provide high-level administrative and clerical support to ensure smooth and efficient office operations. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

What does a typical day look like for the Secretary II?

You will:

· Provide administrative and clerical support to NSWC PHD departments and staff.

· Prepare, edit, and proofread correspondence, reports, and other documents in accordance with Navy formats and standards.

· Maintain schedules, calendars, and coordinate meetings, including reserving conference rooms and preparing necessary materials.

· Receive and screen incoming calls and visitors, directing them appropriately.

· Maintain and organize paper and electronic filing systems for records, correspondence, and other materials.

· Track and manage taskers, suspense dates, and document actions using Navy-approved tracking systems.

· Assist in the preparation of presentations and meeting materials.

· Process and route incoming and outgoing mail and official documents.

· Support travel planning and voucher processing in accordance with DoD and NSWC guidelines.

· Perform data entry, maintain databases, and generate reports as needed.

What qualifications do you look for?

You might be the professional we’re looking for if you have:

· An Associate’s degree in any field of study.

· A minimum of two (2) years of experience providing principal secretarial support in an office environment at an enterprise level organization.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

· Strong written and verbal communication skills.

· Ability to handle sensitive and confidential information with discretion.

· Familiarity with Navy correspondence formats, tasking systems, and document handling procedures is preferred.

We are extra_ impressed by folks with:_

· Experience working in a Navy command or other military setting.

· Knowledge of Navy organizational structure, terminology, and administrative protocols.

· Familiarity with DoD travel systems (DTS) and records management procedures.
