Simon & Schuster is seeking a proactive and detail-oriented Administrative Assistant. This role requires exceptional organizational skills, a professional demeanor, and the ability to handle confidential information with discretion. The ideal candidate will thrive in a fast-paced environment and possess strong communication skills.

Responsibilities:
1. Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements.
2. Communication: Serve as the primary point of contact for internal and external communications.
3. Documentation: Prepare and edit correspondence, reports, presentations, and other documents as needed.
4. Information Management: Maintain accurate records and files, both physical and electronic.
5. Meeting Support: Attend meetings, take minutes, and follow up on action items.
6. Project Coordination: Assist in managing special projects and initiatives.
7. Relationship Management: Build and maintain positive relationships with key stakeholders including executives, clients, and vendors.
8. Office Operations: Ensure the office runs smoothly by ordering supplies, managing expenses, and handling other administrative tasks.
9. Confidentiality: Handle sensitive information with the highest degree of integrity and confidentiality.

Qualifications:

Proven experience as an executive assistant, administrative assistant, or similar role supporting senior management.
As interest in book publishing is preferred.
Excellent organizational and time-management skills with the ability to prioritize tasks.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office software.
Strong written and verbal communication skills.
Discretion and confidentiality in handling sensitive information.
Ability to work independently and as part of a team in a dynamic environment.
Bachelor’s degree preferred, but not required, with relevant work experience.
Please note that this role is based in-house full time within our Rockefeller Center office in New York City.

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
