Position: Administrative Assistant, Education Programs Team (Part-time)

Compensation Range: $16-20.00 per hour

Position Summary

We are looking for a personable, organized, detail-oriented Administrative Assistant who enjoys working collaboratively to serve the Scrum Alliance community. The successful candidate will provide administrative support as needed to a high-functioning team, that maintains the logistical and operational aspects of numerous certification and credential programs. Exceptional customer service, collaboration, and communication skills are essential to the success of this position, as well as self-direction, reliability, attention to detail, and a key ability to meet deadlines.

Responsibilities

Schedules virtual meetings with multiple attendees across the globe:
Responsible for agenda setting and maintaining timeboxes.
Facilitates notetaking and distribution.
Monitors scheduling availability for up to 15 team members, internal and external.
Schedules estimated 4 Training Skills Assessments (TSAs)/month with up to 6 global meeting attendees.
Schedules global applicant/reviewer feedback calls, approximately 10/month.
Schedules other meetings and virtual events as assigned.
Collaborates with internal teams to ensure timely completion of administrative tasks, including reviewing and standardizing internal and external presentations, communications, newsletters, and other resources.
Processes and prescreens incoming applications and microcredential intents to train.
Records and communicates with accounting regarding refunds, invoices, reviewer payments, and trainer and coach annual payments, including monthly reporting.
Processes systems updates (backend course permissions, account testing, recording manual payments, trainer and coach account updates, etc.).
Assists with course manager and course listing monitoring and flags issues as reported.
Submits course manager and listing discovery reports to legal for further investigation.
Distributes and collects external agreements and ensures digital signatures.
Maintains files and organizes digital documentation.
Responds clearly and swiftly to customer service requests and applicant communications.
Supports program partners, members, and vendors with excellent customer support.
Improves and creates standardized communication templates.
Creates spreadsheets and other documentation as needed.
Documents processes to support multiple and varied programs.

Qualifications

● Part-time, up to 20 hours per week, subject to change if needed. Desired schedule is M-F 11am-3pm ET daily
● Able to collaborate effectively in a fully remote/virtual environment.
● Experience with Agile and/or Scrum is preferred.
● Global experience is a plus.
● BA/BS or equivalent experience that demonstrates a commitment to advancing skill and staying current in the profession.
● 1-3 years in a support/customer service role with demonstrated ability to support complex programs.

● A self-starter who takes initiative while keeping people informed.
● Highly organized and time efficient. Able to see the big picture and execute on the details.
● Excellent communication and interpersonal skills – both verbal and written.

● Able to create and nurture relationships with global community and team members.
● Willingness to learn and implement new tools while streamlining current ways of working.
● Experience with Google Workplace Suite.
● Experience with Survey Monkey Apply a plus.

Physical Demands

Sedentary work. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers for activities such as typing, using a computer mouse. Required to sit; talk or hear, either in person, phone or video conferencing. Required to have close visual acuity and the ability to focus to perform activities such as: reading/proofing various materials; viewing a computer monitor; and reading.
