Lillian James Design Group is a luxury residential interior design firm specializing in bespoke, high-end interiors. We are looking for a proactive and highly organized Procurement and Administrative Coordinator to join our growing team. This key role supports the studio’s operations by managing procurement, financial processes, and office logistics with precision and professionalism.

Key Responsibilities

Purchasing Coordination:

Create and review detailed purchase orders
Place and track orders with vendors
Confirm order acknowledgments and manage delivery timelines
Coordinate shipping and logistics for seamless installations
Maintain vendor relationships, accounts, and updated pricing
Enter and update product and cost data in Studio Designer

Financial Administration:

Manage accounts receivable and accounts payable
Handle client account management and reconciliation
Track and enter reimbursable purchases
Process client invoices, refunds, and credits
Assist with general financial reconciliation and reporting

Office Management:

Order and maintain office supplies
Manage incoming/outgoing mail and deliveries
Prepare the office for client and vendor meetings
Maintain overall office organization and daily workflow

Qualifications

Excellent multitasking, organizational, and time management skills
Strong written and verbal communication skills
Financial accuracy and confidence working with numbers
Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, OneNote, OneDrive)
Experience with Studio Designer is a plus, but not required
Basic accounting skills are required

Pay: $55,000.00 – $60,000.00 per year
