The Administrative Support Assistant II is a permanent, full-time position used by various agencies throughout the State. This is advanced and/or supervisory office support work involving a variety of tasks and work methods. Employees in this class are responsible for making decisions and solving problems utilizing their knowledge of the activities, practices, and applicable functions, rules and regulations of the organization in which employed.
Responsibilities
Completes registration/verification and assessment of clients so that service eligibility is determined, federal and ADPH guidelines are met, and patients receive appropriate services.
Files/retrieves/transfers patient records and information, such that appropriate information is obtained/recorded, medical records are complete and accurate, data entries are accurate and secure, and collecting and receiving fees is precise and consistent with department policies and clinical service needs.
Demonstrates customer service to external customers including clients, patients by anticipating routine customers’ needs; being empathetic and relating to customers; using friendly greetings.
Issues WIC food instruments/COI/copies of records and other assigned follow-up duties to ensure that clients receive correct and eligible benefits.
Demonstrates teamwork in customer service with ADPH internal customers, supervisors, and coworkers.
Provides general support for the clinic and other clinic staff (e.g., answering phones, making appointments, assisting clients with information/forms/routing, file/record maintenance) so that the clinic’s services are accomplished efficiently and fairly.
Qualifications
High school diploma or a GED certificate
Three years of responsible clerical work experience
