Full Job Description

We are seeking a reliable and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide administrative support to ensure efficient operation of the office. This role involves a variety of tasks, including managing calendars, scheduling meetings, handling correspondence, and organizing files. The ideal candidate is proactive, adaptable, and able to multitask effectively in a fast-paced environment.

Key Responsibilities:

Calendar Management:

Schedule and coordinate appointments, meetings, and events for executives and team members.

Manage and update calendars to ensure accuracy and avoid scheduling conflicts.

Remind executives and team members of upcoming appointments and deadlines.

Correspondence and Communication:

Screen and route incoming calls, emails, and other correspondence.

Draft, edit, and proofread documents, letters, memos, and reports as needed.

Respond to inquiries from clients, customers, and other stakeholders in a timely and professional manner.

Office Management:

Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt of supplies.

Ensure office equipment is properly maintained and serviced.

Coordinate with building management and vendors for office maintenance and repairs.

Document Management:

Organize and maintain paper and electronic files, records, and documents.

Create and update filing systems to facilitate efficient document retrieval.

Scan, copy, and file documents as needed.

Meeting and Event Coordination:

Arrange and coordinate meetings, conferences, and special events.

Prepare meeting agendas, materials, and presentations.

Record and distribute meeting minutes as requested.

Travel Arrangements:

Make travel arrangements, including booking flights, hotels, and transportation.

Prepare travel itineraries and ensure travel documents are up to date.

Reconcile travel expenses and prepare expense reports.

Administrative Support:

Provide general administrative support to executives and team members as needed.

Assist with special projects, research, and data analysis.

Handle confidential and sensitive information with discretion

Assist the HRBP with new hire onboarding, employee engagement, and training and development.

To qualify for this role you must meet the following:

High school diploma or equivalent; associate or bachelor’s degree preferred.

Proven experience as an administrative assistant or in a similar role

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
