Administrative Assistant – Records Jobs in Shawnee, KS at The State of Kansas

The Office Operations Coordinator is an integral part of our small team and works closely with the owners, employees and customers. Position is to assist the office & field management.

Looking for someone who picks up new skills quickly, can effectively & efficiently multi-task, & has the ability to learn through on-the-job training. Job functions require the ability to work accurately with numbers. Accurate listening comprehension & processing is essential. Must be able to communicate effectively. Spanish speaking is a plus.

Duties include, but are not limited to:

· Maintain crew accountability records

· Calculating work tickets (time & materials)

· Maintain daily log record book

· General data entry of work tickets per management instruction.

· Receive & screen calls. Give basic service information to callers &/or relay relevant information to management.

· Timecard calculation & weekly payroll processing via online program

· Set up new service jobs, prices & routes (per proposal terms) within customer accounts

· Filing of work tickets, routes & invoices on a weekly basis

· Mail collection from PO Box & distribution (invoices, payments, correspondence, junk, personal…)

· Processing customer payments and deposits. Drop off bank deposits

· General data entry of work tickets per management instruction.

· Route sheet preparation & reconciliation

· Work ticket preparation & reconciliation

· Create & maintain customer accounts

· Prepare estimate forms for field management.

· Follow-up on estimate figures & prepare proposal framework

· Assist with monthly client invoice

· Monitor email correspondence between the office & customers. Establish a familiarity with on-going customer “conversations” and be able to recall customer names, account histories etc….

Candidate must be proficient with various computer functions including, but not limited to the ability to learn a custom small business software, familiarity with basic excel formulas & functionality, ability to use MS word & perform mail merges, extensive use of email, internet search efficiency

MONTHLY DUTIES:

· Employee file maintenance & upkeep (monthly)

· Vehicle file maintenance & upkeep to include renewal of truck and trailer registrations and insurance policies (monthly)

· Maintaining office supplies & general office organization (monthly)

· Pick-up and deliver items as needed

We are looking for someone that, at minimum, can work in an assisting role. The ideal candidate will have the capacity to handle additional business related responsibilities. The position is Full time. There is with some room for schedule negotiation as to the times. Learning is on-the-job and as daily operations are ongoing.

Pay: $22.00 – $28.00 per hour
