OverviewThe Administrative Assistant plays a crucial role in supporting the efficient operation of the office. They are responsible for providing administrative and clerical support, ensuring smooth communication, and contributing to the overall productivity and effectiveness of the team.

Key Responsibilities

Manage and coordinate office activities and operations to secure efficiency and compliance with company policies

Answer and direct phone calls, distribute correspondence, and schedule appointments

Assist in the preparation of regularly scheduled reports

Develop and maintain a filing system

Update and maintain office policies and procedures

Order office supplies and research new deals and suppliers

Maintain contact lists

Submit and reconcile expense reports

Provide general support to visitors

Act as the point of contact for internal and external clients

Write and distribute email, correspondence memos, letters, faxes, and forms

Book travel arrangements

Assist in resolving any administrative problems

Coordinate with other departments to ensure compliance with established policies

Perform receptionist duties when needed

Perform other ad-hoc administrative duties as assigned

Required Qualifications

Proven work experience as an Administrative Assistant, Receptionist or Office Admin Assistant

Knowledge of office management systems and procedures

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational and planning skills

High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus

Self-motivated with the ability to work independently

Customer service attitude

Discretion and confidentiality

Ability to multi-task and prioritize daily workload

Team player with the ability to work harmoniously with colleagues

Professional attitude and appearance

Knowledge of office management systems and procedures
