Administrative Assistant
A leading power engineering consultant firm is seeking an experienced Administrative Assistant to join their team in Madison, WI. This role will provide day-to-day overall support functions for a regional office of approximately 90 employees. The ideal candidate will thrive in a fast-paced environment, providing exceptional administrative and clerical support to the office staff.
Key Responsibilities
Communicate, coordinate, and follow up (written and verbal) with office and corporate staff members on all requests
Provide project and marketing support including copying, printing, scanning, filing, dictation, and assembling reports and drawing sets
Assist business development staff with clerical tasks as needed
Support senior managers with report production
Assist teams with document control coordination and management
Monitor fleet usage and maintenance
Coordinate with the accounting department on expense and timesheet submittals, invoice review, and transmittals, including field personnel paperwork
Manage incoming telephone calls and visitors professionally
Oversee incoming and outgoing mail processes
Monitor and order office supply inventory as needed
Prepare common areas for activities or meetings when requested
Assist with regional office events (summer picnic and holiday party)
Perform other duties as assigned
Qualifications
Associate’s degree and 2+ years of related experience, or high school diploma and 4+ years of related experience
Proficient in MS Office (Word, Excel, Access, PowerPoint); experience with PDF software (Adobe or Bluebeam) is a plus
Proven effective verbal and written communication skills
Excellent interpersonal skills and ability to work independently and as part of a team
Ability to handle confidential information with discretion and attention to detail
Strong typing and word processing skills
Willingness to undergo client-mandated drug and background checks
Occasional travel/driving may be required (subject to company auto insurance carrier requirements)
No sponsorship for employment visa status required
