Job Overview
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and ensuring efficient communication within the office. This role is crucial in maintaining a welcoming environment for clients and staff alike, while also supporting administrative functions to enhance productivity.

Office Operations:

Own all general office management duties
Process mail, handle check deposits, manage office supplies
Interface with BBSI/PEO and leadership on HR tasks (time-off tracking, sick days, onboarding/offboarding)

Administrative & Financial Support:

Tally timecards weekly and prepare summaries for payroll (no payroll processing required)
Assist with billing issues and customer follow-ups
Help manage subcontractors and ensure documentation and compliance are in order

Team Management:

Support and manage CSRs, ensuring a smooth workflow and strong communication between office and field teams
Act as the go-to person for technicians and internal team questions
Escalate and resolve operational issues with urgency

Technology & Tools:

Maintain and update CRM records
Ensure accurate data entry and task tracking

Requirements:

Strong communication and organizational skills
Experience with QuickBooks or time tracking tools preferred
Familiarity with CRMs (e.g., Pipedrive, Housecall Pro, etc.) is a plus
Trustworthy and capable of handling sensitive company information
