Reporting to the Associate Vice President for Student Affairs and Dean of Students, the Executive Administrative Assistant I (EAA) is a highly visible first-point-of-contact team member in the Dean of Students Office suite. In partnership with the Dean and Associate Dean, this professional performs a variety of administrative and suite support related functions. The EAA is responsible for facilitating the day-to-day operations for the front office space and assists the Dean and Associate Dean. The EAA will work with units within the department including Assessment, Evaluation, and Strategic Planning; the Child Care Access Means Parents In School (CCAMPIS) Grant; Student Outreach and Support (SOS); Behavioral Intervention Team (BIT); the Basic Needs Hub; Student Accountability and Restorative Practices (SARP); Towson University North-Eastern Maryland (TUNE); Civic Engagement & Social Responsibility (CESR); Military & Veteran Center (MVC); and Student Success Programs (SSP).
Responsibilities and Duties
There are five core functions of the role:
Office management
Project management support
Support of fiscal stewardship
Executive administrative support
Service on departmental and university committees / work groups and other duties as assigned
Each function requires communication proficiency, cross-functional alignment, teamwork, collaboration, relationship building, creativity, a commitment to excellence, high attention to detail, adaptability, and a strong commitment to taking actions that facilitate the Deans’ ability to effectively lead the organization. Executive-level duties include preparation of monthly budget reports and audits for Dean of Students Office departments; assisting in the preparation of reports, presentations, agendas, and other documents in support of objectives; approving listings for off-campus housing website; editing and posting positions in Taleo and Handshake; providing administrative support and organization for the Residency Review Process; recruiting, interviewing, training, supervising, and evaluating student support staff; managing work schedules and approving timesheets; assisting in the coordination, preparation, and scheduling of university-wide presentations; monitoring, triaging, and responding to Dean of Students department email inbox and phone; maintaining contact lists; and supporting project management functions led by the Deans.
Routine day-to-day duties include managing multiple calendars (two executive staff and conference rooms); co-developing department collateral materials; scheduling meetings with internal and external constituents; leading suite team fellowship, community building and celebration events that support belonging and inclusion (birthdays, potlucks, and regular recognition of team accomplishments); facilitating and organizing conference registration and travel; directing and triaging walk-ins to appropriate supports within the suite and across campus; creating, documenting and maintaining office protocols; updating information on the website; drafting leadership team and other meeting agendas and updating meeting notes; maintaining data associated with office visits and student needs; replenishing office supplies; providing hospitality to all guests; and participating on university search processes and committees as approved.
Qualifications and Skills
Required:
High School diploma or equivalent.
Four years of experience providing administrative support.
Proficient with Microsoft Office Suite.
Ability to demonstrate exceptional customer service skills and excellent communication skills.
Ability to demonstrate strong commitment to judgement free communication with empathy and understanding.
Ability to demonstrate superb organizational and multitasking skills.
Ability to create, edit, and proofread emails, marketing materials, and other collateral.
Ability to demonstrate outstanding work ethic, high expectations, and integrity.
Ability to organize a daily workload by priorities, meet deadlines, and have a proactive approach to problem-solving.
Ability to manage sensitive information and maintain confidentiality.
Ability to create, form, and maintain positive working relationships.

Ability to engage in problem solving while staying within the parameters of good practice.
Ability to create and audit budget reports with accuracy.
Ability to work independently on multiple projects with multiple deadlines and objectives.
Ability to take initiative and focus on office priorities.
Preferred:
Associates Degree.
Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
