We are seeking a highly organized, proactive, and detail-oriented Executive Assistant and Office Administrator to provide critical support to our leadership team and ensure smooth day-to-day operations. This dual role combines executive-level administrative assistance with office management responsibilities, requiring adaptability, strong communication skills, and a commitment to our startup’s vision. The ideal candidate will thrive in a fast-paced environment, manage multiple priorities, and contribute to a positive workplace culture.
Key Responsibilities
Executive Assistant Duties:
Provide high-level administrative support to the CEO and other executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare and edit correspondence, presentations, reports, and other documents as needed.
Act as a point of contact between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
Conduct research and compile data to support decision-making and strategic initiatives.
Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
Assist with special projects, such as event planning, investor meetings, or partnership coordination.
Office Administrator Duties:
Oversee daily office operations, ensuring a well-organized and efficient work environment.
Manage office supplies, equipment, and vendor relationships, negotiating contracts as needed.
Coordinate onboarding for new employees, including setting up workstations and facilitating orientation.
Maintain accurate records, including contracts, invoices, and employee files, ensuring compliance with company policies.
Handle incoming calls, emails, and inquiries, directing them appropriately and promptly.
Support basic bookkeeping tasks, such as processing expense reports and liaising with the accounting team.
Foster a welcoming and collaborative office culture, organizing team-building activities and company events.
Qualifications
Bachelor’s degree in business administration, communications, or a related field (or equivalent experience).
2+ years of experience as an executive assistant, office administrator, or similar role, preferably in a startup or small business environment.
Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills, with a professional and approachable demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and scheduling tools (e.g., Calendly, Outlook).
Familiarity with basic bookkeeping or project management software (e.g., QuickBooks, Asana) is a plus.
Ability to handle sensitive information with discretion and maintain confidentiality.
A proactive problem-solver with a positive attitude and adaptability to a fast-paced, evolving environment.
Passion for sustainable agriculture and alignment with U.S. Organic Farms’ mission is highly desirable.
Work Environment
This is an on-site role based in Southlake, Texas, with occasional flexibility for hybrid work as approved by management.
The role may require occasional travel or after-hours support for events or executive needs.
