Position Overview:
The Administrative Assistant will be the backbone of our office operations, ensuring the day-to-day administrative tasks are handled efficiently and professionally. This individual will support the executive team, agents, and staff with clerical duties, scheduling, communication, and overall office management. The ideal candidate is highly organized, detail-oriented, proactive, and has a strong ability to multitask in a fast-paced environment.

Key Responsibilities:

Manage day-to-day office operations and provide administrative support to the leadership team and real estate agents.
Answer and direct phone calls, emails, and inquiries in a professional and timely manner.
Maintain organized digital and physical filing systems, including client records and transaction files.
Assist with scheduling meetings, property showings, and client appointments.
Coordinate with vendors, clients, agents, and other stakeholders.
Prepare and proofread real estate documents, contracts, and listing agreements.
Track and organize incoming and outgoing correspondence.
Support marketing and listing processes by gathering property information and assisting with MLS input.
Manage office supplies, inventory, and other operational needs.
Assist with light bookkeeping, invoicing, and expense tracking.

Requirements:

2+ years of administrative experience (real estate office experience preferred but not required).
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and general computer skills.
Familiarity with real estate software (MLS, DocuSign, Skyslope, or similar) is a plus.
Ability to work independently and manage multiple tasks efficiently.
