Position Overview
Shields Health is seeking a motivated and detail-oriented individual to join our team in an entry-level position that combines reception responsibilities with internal events support and coordination. Internal Events Responsibilities
The internal events support and coordination responsibilities will make up 50% of your role. You will play an active part in planning, organizing, and executing internal events to strengthen team culture and enhance employee engagement. This position offers a unique chance to learn the fundamentals of event planning and coordination while contributing to a dynamic and collaborative workplace.
Key responsibilities include:
Assisting the Internal Communications Manager with the planning and execution of internal events, including, but not limited to, team-building activities, company-wide meetings, training sessions, and celebrations.
Coordinating event logistics, such as budget planning and reporting, booking venues, arranging for catering services, preparing materials, and setting up and breaking down event spaces.
Managing event timelines and ensuring all details are completed on schedule.
Supporting communication efforts by preparing event announcements, invitations, and follow-up messages to employees.
Working with other team members in Marketing, such as Marketing Coordinator and Senior Graphic Designer, to facilitate event project needs.
Maintaining and organizing event supplies, tracking inventory, and preparing reports on event outcomes.
Gathering and incorporating employee feedback to help improve future events and activities.
Assisting in the management and execution of virtual events using tools like Zoom or other platforms.
Collaborating with various teams across the organization to ensure events align with Shields’ culture and strategic goals.
Taking ownership of smaller events or parts of larger events, under the mentorship of the Internal Communications Manager.
Manage reception area, including overseeing conferencing system, screen incoming calls and correspondence to determine level of priority.
Assist administrative assistants with needs including mailings, PowerPoint presentations, hotel/meal reservations, preparation of legal documents and research.
Responsible for maintaining inventory of office supplies and refreshments, liaise with vendors to ensure quality service and process invoices for payment.
Maintain copy centers and mail centers, including sorting of mail and all products needed for mailing and copying.
Manage catering requests for all events and lunches as needed.
