Position Overview:
We’re looking for a world-class Executive Admin to manage the operational backbone of our business and our clients’ businesses. This isn’t some boring desk job where you wait for someone to tell you what to do. This is your chance to lead, streamline, and OWN your role. You’ll be handling calendars, emails, systems, and processes with surgical precision.
Your mission is simple: make life easier for everyone you work with. That means staying ahead of deadlines, eliminating inefficiencies, and solving problems before they even happen. Key Responsibilities:
Calendar Domination: Own the schedules of internal and client teams. Ensure every meeting, deadline, and follow-up is handled like a pro. Missed appointments? Not on your watch.
Inbox Zero: You’ll manage, organize, and prioritize emails like a machine. Respond, delegate, or escalate—whatever it takes to keep the workflow moving at lightning speed.
Operations Excellence: Streamline systems and workflows for maximum efficiency, whether it’s for Main Street Virtual or our clients. You’ll make the complex simple.
System Mastery: Implement, manage, and optimize tools like CRMs, project management software, and SOPs to keep businesses running like well-oiled machines.
Client Communication Ninja: Be the go-to person for our clients. Whether it’s solving a problem, coordinating a project, or managing their day-to-day operations, you’ll always have an answer.
Problem-Solving Guru: See a bottleneck? Fix it. Find inefficiencies? Eliminate them. You’re not here to just identify issues—you’re here to obliterate them.
Project Coordination: Juggle multiple projects across clients and keep every moving part on track. Chaos doesn’t scare you—you bring order to the storm.
Requirements:
Experience: 5+ years as an executive assistant, admin, or operational rockstar. Bonus if you’ve worked remotely or supported multiple clients at once.
Tech-Savvy: You’re a wizard with tools like G Suite, Asana, Monday.com, and Slack. You pick up new tech faster than most people check their notifications.
Communication Skills: Clear, concise, and professional—always. You know how to keep everyone informed, engaged, and confident.
Detail-Obsessed: Every “i” dotted, every “t” crossed. Mistakes are not part of your vocabulary.
