Job Title: Executive Assistant to CEO (Hospitality Management)
Job Summary:
The Executive Assistant to the CEO provides high-level administrative and strategic support, managing the CEO’s schedule, communications, and projects to ensure seamless operations and efficiency within the hospitality organization.
Key Responsibilities:
Calendar Management:
Maintain and update the CEO’s calendar with a strong understanding of priorities.
Coordinate and schedule internal and external meetings, including board meetings, ensuring no scheduling conflicts.
Communication Management:
Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
Draft, edit, and proofread communications on behalf of the CEO.
Serve as the primary point of contact between the CEO and internal/external stakeholders.
Meeting Preparation and Follow-Up:
Prepare meeting agendas, briefing materials, and presentations for the CEO.
Record and distribute meeting minutes, and track action items to ensure completion.
Conduct follow-up on meetings and ensure timely responses to inquiries.
Travel Arrangements:
Plan and coordinate complex travel itineraries, including flights, accommodations, and ground transportation.
Prepare detailed travel itineraries and manage changes or adjustments as needed.
Process travel expense reports and ensure timely reimbursement.
Project Management:
Assist in the planning and execution of special projects and initiatives led by the CEO.
Conduct research, compile data, and prepare reports for the CEO’s review.
Track project progress and provide updates to the CEO.
Confidentiality and Discretion:
Handle sensitive and confidential information with the utmost discretion.
Maintain confidentiality of all personal and business information.
Office Management:
Oversee and manage the CEO’s office, ensuring a well-organized and efficient environment.
Order and maintain office supplies and equipment.
Coordinate with other departments and support staff as needed.
Event Planning:
Organize and coordinate events, meetings, and conferences hosted or attended by the CEO.
Manage logistics, including venue selection, catering, and audiovisual arrangements.
Ensure smooth execution and handle any issues that arise.
Qualifications:
Education:
Bachelor’s degree in Hospitality Management, Business Administration, Communications, or a related field is preferred.
Experience:
Minimum of 3-5 years of experience in an executive assistant or administrative support role, preferably in a hospitality environment.
Experience in managing complex calendars, travel arrangements, and event planning.
Skills:
Exceptional organizational and time-management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to multitask and prioritize effectively.
Strong attention to detail and problem-solving skills.
