The Administrative Assistant will report to the Managing Director – Global Sales LAC & South Florida and will perform advanced, diversified, and confidential administrative duties. These duties require broad and comprehensive experience, a high level of interpersonal and planning skills, an ability to anticipate, and a knowledge of organizational practices. Candidates will enjoy working in an energetic and fast-paced environment, combining an ability to anticipate needs, prioritize, and work independently with strong attention to detail and a can-do positive attitude. Candidates will possess strong verbal and written communication skills, an ability to multi-task seamlessly, and strong decision-making ability. In this role, you will have daily interactions with employees at all levels both inside and outside the company. This role requires a high degree of professionalism and business presence. A self-directed team player with an energetic can-do work attitude, initiative and professional business presence.

The candidate must be well organized, flexible, able to work independently and perform advanced, diversified and confidential administrative duties.

Must have the organizational/leadership skills necessary to balance multiple assignments with limited direction and the ability to anticipate business needs and priorities of the Managing Director and others, including Vice President level executives from inside and outside the company. In addition, candidate will have the ability to create, manage and maintain schedules, meetings and travel itineraries.

This position is in Miami, FL.

Responsibilities:

Exercise extensive calendar management for leader and resolve aggressive scheduling demands.

Organize domestic and international travel arrangements which includes flight reservations, hotels, etc.

Completes, submits and reconciles expense reports.

Greets visitors, receives telephone calls, and prepares responses to correspondence containing routine and sometimes complex inquiries.

The individual will coordinate, manage and execute internal and external events for the SoFL organization, such as local partnerships, executive events, community partnerships, representing the interests of the Managing Director and in close coordination with external and internal stakeholders; inclusive of securing, hiring, managing, negotiating, and arranging vendor contracts and relationships. Will support managing MD’s communication, including social media platforms such as LinkedIn, SkyHub, and Executive Hub and other local engagement initiatives involving external (B2B2C customers) and internals (ACS, IFS, other groups).

Assist with sourcing and securing marketing and sales promotional materials. Will have high exposure to corporate customers at C-level and manage vendor relationships.

Candidate will interact with internal employees (at all levels) and external customers, influencers, and government authorities and staff.

Candidate must feel comfortable with flexibility, proactive, resourceful and efficient in a fast paced environment, often under pressure and must feel comfortable to act with limited guidance.
