Instruction Office Administrative Assistant

Reports To: Instructional Directors
Pay Grade: Grade 5, Step 1, $19.05 per hour
Schedule: 8 hours per day, 52 weeks per year
Job Summary: The Instruction Office Administrative Assistant helps to ensure the efficient and smooth operation
of the instruction department by providing administrative and clerical support.
Preferred Qualifications:
Relevant Associates or Bachelor’s degree
Effective listening, speaking, and written communication skills
Exceptional organizational skills
Detail and task orientated
Demonstrated knowledge of Google Suite and Microsoft Office Suite
Ability to be self-directed, responsible, cooperative, well organized, and flexible
Essential Job Functions:
Greet visitors and answer incoming calls in a friendly and professional manner, directing inquiries to the appropriate department member and maintaining a welcoming atmosphere in the office.
Maintain accurate files while adhering to any privacy and confidentiality guidelines.
Coordinate appointments/calendars and schedule professional learning events as directed.
Support the instruction office as needed.
Support Multi-Language Learner Coordinator as needed.
Provide general administrative support to district leadership and staff, including scanning, filing, supply ordering, departmental budget processing, etc.
Assist the planning, execution and applicable documentation of professional learning events.
Ability to establish priorities and meet deadlines.
Ability to interpret educational documents.
Ability to maintain and deliver a positive, cooperative atmosphere for all customers, such as staff, families, community and business.
Consistent and reliable attendance.
Perform other duties as assigned.
Physical Requirements:
While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk, hear (in a quiet or noisy environment). The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust/focus. Work Environment:
The noise level in the work environment is usually quiet to moderate. Work will be performed mostly indoors but some outdoor work may be required.
Mental Functions:
While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile and negotiate.
Evaluation:
In accordance with the Administrative Support Staff Agreement.
